WellSpring Nursing & Care Management is a nurse-led healthcare organization that helps older adults and families navigate complex medical and aging-related needs. We provide nursing oversight, care coordination, healthcare advocacy, and support for individuals at home and in senior living settings.

Position Overview – Hybrid Remote

WellSpring is seeking a compassionate, organized, and proactive Intake Coordinator / Administrative Coordinator to support our growing team. This role serves as a key point of contact for families, referral partners, and staff while helping manage intake, scheduling, communication, and day-to-day administrative operations.

The ideal candidate is professional, detail-oriented, highly responsive, and comfortable managing multiple priorities in a fast-paced healthcare environment.

Responsibilities

  • Answer incoming calls and serve as a professional first point of contact
  • Complete intake calls and gather client information
  • Help triage incoming needs and route concerns appropriately
  • Coordinate scheduling for assessments, visits, and staff
  • Support communication with families, referral sources, nurses, and care managers
  • Maintain accurate records and documentation
  • Assist with administrative workflows and office operations
  • Support community events, outreach, and referral activities
  • Help keep day-to-day operations organized and running smoothly

Qualifications

  • Experience in healthcare administration, scheduling, intake, home care, senior care, or medical office operations preferred
  • Strong organizational and communication skills
  • Ability to multitask and adapt to changing priorities
  • Professional, compassionate, and customer service-oriented
  • Strong attention to detail and follow-through
  • Comfortable with Microsoft Office and technology systems
  • Able to work independently while staying connected and responsive to the team

Location

Milwaukee area preferred. Candidate must be available for occasional in-person meetings, trainings, and events.
